We are looking for an experienced Executive Assistant (m/f/d) who will support the VP.

This position goes beyond coordinating day-to-day business operations and offers the opportunity to manage and lead projects independently.

For our Unterschleissheim office we are looking for a hands-on, proactive and well-organized VP Assistant (m/f/d) :

Responsibilities we’ll trust you with :

Executive Assistance

  • Comprehensive support of the VP in all administrative and organizational matters

  • Act as the point of contact among executives, employees, clients and other external partners

  • Creating the interface between senior management and internal/external stakeholders, managing the flow of information while ensuring effective communication and ensuring deadlines are met

  • Manage information flow in a timely and accurate manner

  • Manage executives’ calendars and set up meetings

  • Make travel and accommodation arrangements for executives

  • Rack daily expenses and prepare weekly, monthly or quarterly reports for executives

  • Support for special projects and initiatives as needed

  • Screen and direct phone calls and distribute correspondence.

  • Organize and maintain the office filing system.

What are we looking for?

  • A completed commercial apprenticeship or a (technical) university degree

  • Several years of professional experience in a similar position, preferably with initial experience in project management - Ideally 5+ years of Team Assistant experience

  • Strong organizational skills with the ability to quickly assess and prioritize work requests

  • Maintaining discretion and confidentiality as well as a confident and friendly appearance

  • Organizational talent who is focused and enjoys juggling several balls (projects) at the same time

  • Strong IT skills – Word, Excel and PowerPoint

  • Proactive mindset - ability to take action without instructions and bring new ideas to the team

  • Must be self-starting and able to work unsupervised

  • Well presented, loyal and discreet

  • Excellent verbal and written communication skills in English and German

Minimum Qualifications:

• Bachelor's degree and 4+ years of Administrative Assistant or related work experience.

OR

Associate's degree and 6+ years of Administrative Assistant or related work experience.

OR

High School Diploma or equivalent and 8+ years of Administrative Assistant or related work experience.

*Completed advanced degrees in a relevant field may be substituted for up to two years (Master’s = one year, Doctorate = two years) of work experience.
